Your retreat should work for you, and chances are, you and your sewing circle already have a lot going on like quilt guild meetings, charity quilt projects, day retreats, classes or quilt shows you’re planning to attend, and so on. You might realize some seasons are busier than others for your group, not to mention the schedules of every person individually! Before looking at dates, think about who your group is.

Ask yourselves:

  • Are most guests retired, semi-retired, or still working?

  • Are people traveling locally or long-distance?We have both types of groups, so depending on your group’s preferences, we have dates that can work for you.

  • Do you want a quiet, relaxed pace—or a lively, social weekend?

The best retreat dates aren’t universal—they’re personal to your group.



Best Time of Year for Quilt Retreats


🌸 Spring (March–May)

Why it’s popular:

  • Mild temperatures, its actually a beautiful time here in the deep south.

  • Easier travel conditions

  • A fresh, creative energy after winter


Things to consider:

  • Popular retreat months may book early

We often book these months in full first.

Best for: Groups who want comfortable weather and a seasonal reset.



☀️ Summer (June–August)

Why it works well:

  • Flexible schedules for many retirees

  • Longer daylight hours, You will have plenty of time to quilt,shop and even walk the path along the lake.

  • A relaxed, vacation-style atmosphere. Here at our lakeside location, you can sit out on the expansive deck, watch the sunset or see the fireworks at the June celebration that our town does.


Things to consider:

  • It is warmer down here than in some places in the country but AC is prevalent!!

  • Family travel seasons may increase traffic or lodging demand


Best for: Groups who enjoy longer days, casual pacing, and don’t mind warmer weather.



🍂 Fall (September–November)


Why it’s a favorite for quilters:

  • Cooler temperatures

  • Fewer crowds

  • Cozy, focused sewing energy, you can get started on your holiday gifts!! Christmas is just over the horizon.


Things to consider:

  • Popular season—dates can fill quickly

  • Holiday travel begins in late November


Best for: Groups who want uninterrupted sewing time and calm surroundings.



❄️ Winter (January–February)


Why it’s underrated (and wonderful):

  • Easier scheduling

  • Fewer conflicts

  • A cozy, productive atmosphere


Things to consider:

  • Weather-related travel planning. Our location in the deep south means NO snow. Travel is easier here and we are warmer than most of the country in the winter.

  • Shorter daylight hours


Best for: Groups who want maximum focus, fewer distractions, and great availability.



Weekday vs. Weekend Retreats


Weekday Retreats (Monday–Thursday)

Pros:

  • Often more availability

  • Less travel congestion

  • Calmer, quieter environment

Cons:

  • Not ideal for those with rigid work schedules


Best for: Retired groups, flexible schedules, or those traveling midweek.



Weekend Retreats (Thursday–Sunday)


Pros:

  • Easier for working guests

  • Feels like a true “getaway”

Cons:

  • Higher demand

  • Can book up faster

Planning Around Travel & Distance


Ask these questions early:

  • How far are most guests traveling?

  • Are flights or long drives involved? Check with the venue to verify airport locations and ride availability.

  • Will guests want buffer days before or after the retreat?


Helpful tip: Longer retreats (4+ days) are often better for groups traveling more than a few hours—it makes the journey feel more worthwhile.



Consider Availability & Booking Windows


The most common mistake? Waiting too long to pick dates.


When planning a group retreat:

  • Start looking 6–12 months ahead

  • Have 2–3 backup date ranges

  • Be flexible with seasons if possible


Popular retreat times tend to fill first, especially for small-group locations. At Camellia Palms, we tend to book up 4-6 months out, sometimes even up to a year and a half out, so plan in advance!
